The Role As Administration Officer & Bookkeeper of a successful, established Organic Beef Operation managing over 22,000 head of cattle across multiple properties in Western Qld you will be a critical part of the operation. Liaising daily with the highly engaged business owner, you will be taking on a comprehensive dual role as Administration Officer and Bookkeeper, overseeing functions across multiple cattle properties. This position requires proficiency in Xero and a high degree of autonomy with a knowledge of the cattle industry. Your core duties will be split across several key areas: Business Administration & Executive Support: Oversee day-to-day administrative operations, maintain accurate records and filing systems, and coordinate correspondence and information flow between the properties and management. This includes providing high-level administrative support to senior management and managing emails. Bookkeeping & Financial Support: Manage daily financial tasks, including assistance with invoicing, expense tracking, budgets, and reporting. You will also coordinate contractors, service providers, and suppliers, and maintain the Plant & Equipment (P&E) and asset registers across all stations. Compliance & Accreditation: Manage the detailed documentation and coordinate audits for organic certification. You will also be responsible for maintaining records and compliance for livestock programs (LPA, NLIS, PICS, MSA), workplace health & safety (WH&S), and biosecurity. This includes coordinating with external auditors and government agencies, and managing accounts related to MLA and other NGOs. Operational & Property Records: Maintain all property and livestock records, including breeder, joining, calving, weaning, transfer, and sale records. You will also assist with property mapping, managing utilities and services accounts, and coordinating work related to Queensland Transport and RAAUS. People & HR Support: Assist with HR and staff administration, including drafting employment documentation, contracts, and award compliance. You will act as a central communication point for remote managers and station staff, and liaise with new staff during the onboarding process. IT Management: Manage station IT, including iPads, computers, and Starlink systems, as well as managing and coordinating our various client accounts and subscriptions. Familiarity with OneDrive and other Microsoft applications is essential. The Ideal Candidate As the ideal candidate, you will be a highly organised and detail-driven professional with a strong understanding of agricultural and livestock operations. You will be compliance-focused, a confident communicator, and capable of working autonomously within a complex, multi-site business. Proficiency in Xero, OneDrive, and other Microsoft applications is mandatory. Demonstrated extensive experience in bookkeeping and accounts management. Strong understanding of livestock compliance programs (LPA, NLIS, PICS, MSA) and WH&S. Proven ability to manage complex documentation, particularly for organic accreditation. Highly organised, detail-driven, and capable of managing administrative functions across multi-site properties. Proactive, adaptable, and professional, with a high degree of discretion.
